Ethical AI & Data Use

Ethical AI & Data Use Policy

1. Purpose This policy outlines MFC Safe's commitment to responsible, transparent, and ethical use of artificial intelligence (AI), machine learning (ML), and data-driven systems. It is intended to ensure that all AI technologies and data practices comply with legal, ethical, and societal standards.

2. Scope This policy applies to all employees, contractors, partners, and stakeholders involved in the design, development, deployment, and maintenance of AI and data-driven features across MFC Safe’s platforms, including the Didge Platform.

3. Principles of Ethical AI Use

  • Transparency: AI systems must be explainable to users and stakeholders. The logic and decision-making process of AI tools must be clearly documented.

  • Accountability: MFC Safe assumes responsibility for AI outputs. All AI models must be auditable and subject to governance procedures.

  • Fairness: AI systems must not discriminate based on gender, race, religion, or any other protected attribute. Bias detection and mitigation mechanisms are to be implemented throughout the ML lifecycle.

  • Privacy by Design: All AI features must adhere to data minimization, consent management, and anonymization where applicable.

  • Security: Robust cybersecurity measures must be in place to protect data used in training and inference processes.

4. Data Ethics Guidelines

  • Data collection and usage must align with GDPR, PDPA, and other applicable data protection regulations.

  • MFC Safe ensures all third-party data sources meet contractual, ethical, and legal compliance checks.

  • Personal and sensitive data shall only be used for stated purposes and stored with encryption and access controls.

5. Use Case Evaluation All AI/ML implementations must undergo an internal review for:

  • Purpose alignment with business goals

  • Risk and bias assessment

  • User impact evaluation

  • Regulatory and compliance risks

6. Governance & Oversight

  • A Data Governance Committee oversees AI/data-related initiatives.

  • Independent review is required for any high-risk AI deployment.

  • Periodic audits of AI systems will be conducted for conformance and drift.

7. Training & Awareness MFC Safe staff must complete regular training on ethical data use and responsible AI practices, including updates on legal frameworks and best practices.

8. Policy Review This policy shall be reviewed annually or when there are significant changes to AI-related operations or applicable legislation.

9. Violations Any breach of this policy may result in disciplinary action, including termination of access or contractual agreements.
