Cold Story CCP

1. Overview

The Cold Storage Extract feature allows you to quickly capture critical information about your refrigeration units using a single photo. Our RIDGY Vision AI automatically extracts key details from the image, ensuring fast and accurate compliance recording.

This process is designed for fridges, freezers, cold rooms, and under-bench units.

2. How It Works

  1. Take a Photo

    • Capture the refrigeration unit in a single image.

    • Ensure the photo includes:

      • The temperature display (digital readout).

      • The unit label (e.g., “Cold Room 1” or “Under Bench 2”).

  2. AI Extraction

Once uploaded, RIDGY AI will automatically extract the following fields:

    1. Unit identification (e.g., freezer, cold room, underbench)

    2. Unit label/number

    3. Timestamp of capture (real-time, non-editable)

    4. Temperature reading

    5. Compliance status (compliant/non-compliant against CCP2 thresholds)

    6. Supporting metadata (image record, digital signature, system log)

  3. Individual Report

    • Each uploaded image generates its own individual report.

    • This ensures that every refrigeration unit has a separate, auditable record with clear traceability.

3. Compliance Logic

The Compliance field is automatically determined by AI based on temperature:

  • Cold Rooms / Fridges / Under Bench Units

    • Compliant: ≤ 5°C

    • Non-Compliant: > 5°C

  • Freezers

    • Compliant: ≤ -15°C

    • Non-Compliant: > -15°C

4. Example Scenarios

  • Fridge at 3.8°C → Compliant

  • Cold Room at 7.2°C → Non-Compliant

  • Freezer at -17°C → Compliant

  • Freezer at -12°C → Non-Compliant

5. Best Practices for Photos

  • Ensure the temperature readout is clearly visible.

  • Include the unit label in the same frame.

  • Take photos in good lighting to improve AI accuracy.

  • Avoid glare or reflections on digital displays.

6. Benefits

The Cold Storage Extract feature offers a wide range of operational and compliance benefits:

  • One report per unit – each image generates its own auditable record.

  • No falsification of records – data is captured directly from the photo, ensuring integrity.

  • Real-time timestamping – every image is time-verified, providing a trusted record.

  • Integration with the DIDGE program – extracted data automatically feeds into:

    • Performance Reports

    • Web Reports

    • Data Tables

  • Paperless workflow – a sustainable, eco-friendly solution that eliminates manual paperwork.

  • Audit-ready – data is structured in tables, making compliance checks and audits quick and efficient.

  • Easily retrievable – all records can be accessed anytime via the web interface.

  • Centralized database – provides long-term storage and consistency across multiple sites.

  • Faster compliance checks – no manual entry required, reducing human error.

  • Standardized record-keeping – ensures consistency across all refrigeration units and locations.

7. CCP2 Cold Storage

Cold storage is a Critical Control Point (CCP2) in food safety management. It is directly linked to the control of potentially hazardous foods and ready-to-eat foods, where temperature is a key factor in preventing bacterial growth.

  • At unsafe temperatures, bacteria such as Salmonella, Listeria, and E. coli can multiply rapidly, increasing the risk of foodborne illness.

  • Temperature control is a cornerstone of HACCP (Hazard Analysis and Critical Control Points) systems.

  • Compliance with cold storage requirements is mandated under Food Standards Codes and local regulatory frameworks in food handling industries.

Maintaining the cold chain is therefore a non-negotiable standard in food safety programs. The Cold Storage Extract helps ensure consistent monitoring, recording, and verification of this critical step.

7. Data Integrity & Risk Mitigation

Each cold storage image generates a report capturing six key data points — unit identification, unit label, timestamp, temperature reading, compliance status, and supporting metadata. While this level of detail may seem excessive, it creates a tamper-proof, paperless record that cannot be falsified and provides a verifiable audit trail.

This rigor not only ensures compliance with HACCP, CCP2 cold storage requirements, and regulatory standards, but also mitigates major risks including product recalls, liability claims, regulatory penalties, reputational damage, and operational disruption. In essence, the depth of data captured is a safeguard that protects both the business and its customers.
